Reorder points without spreadsheets

A simple, repeatable way to know when to reorder and how much — without a spreadsheet you’re scared to touch.

Most brands reorder from a spreadsheet that one person truly understands. It works — until that person is on holiday, a formula gets overwritten, or the sales data stops getting pasted in every Monday. Then the reorder that should have gone out quietly doesn't, and a few weeks later a listing goes out of stock.

The question a reorder point answers

Strip away the complexity and a reorder point answers one question: if I don't order now, will I run out before the next shipment arrives? When the honest answer starts to become "maybe", it's time.

A reorder system you have to remember to check isn't a system.

What a good reorder decision weighs up

You don't need an equation to understand what goes into a sound decision. It comes down to four things:

Get those four right and the timing takes care of itself. Get any one wrong and even a careful spreadsheet reorders too late.

Stock level over time: the reorder goes out while there’s still enough stock to last until the next shipment.
Stock level over time: the reorder goes out while there’s still enough stock to last until the next shipment.

When and how much are separate questions

It's easy to blur the two. When is about timing — making sure new stock lands before the old runs out. How much is about covering you until the order after that, within real-world limits:

Rule of thumb

Order in full cartons, at or above the MOQ. The savings from a "perfect" number rarely beat a clean one.

Where spreadsheets break down

Spreadsheets fail in predictable ways: sales data pasted in by hand and often out of date, lead times that were accurate a year ago, formulas quietly copied to the wrong row, and — above all — no alert. A spreadsheet can tell you a reorder is due. It can't tell you that you forgot to open it.

What a system does instead

A proper reorder system watches every SKU continuously, notices when one is approaching its reorder point, drafts the order at a sensible quantity, and puts it in front of you to approve. You stay in control of the decision; you just stop being the only thing standing between a product and a stockout.

The goal isn't a cleverer spreadsheet. It's not needing one — so the right reorder goes out on time, every time, even in the week nobody's looking.
